Position Summary:
We are seeking a highly organized and presentable Admin Assistant / Receptionist to manage front desk responsibilities and provide administrative support to the team. This role is critical in ensuring smooth office operations and creating a professional, welcoming environment for clients and visitors.
Key Responsibilities:
Greet clients and visitors in a professional and courteous manner
Answer, screen, and forward incoming calls and emails in Azerbaijani, Russian, and English
Manage appointment scheduling, meeting room bookings, and calendars
Handle incoming/outgoing mail and courier services
Maintain a tidy and professional reception area
Support document preparation, filing, scanning, and archiving
Assist legal staff with administrative tasks and coordination as needed
Order and manage office supplies and stationery
Ensure compliance with confidentiality and legal office standards
Requirements:
Bachelor’s degree or relevant diploma preferred
Minimum 1-2 years of experience in a similar administrative or receptionist role
Fluent in Azerbaijani, Russian, and English (both spoken and written)
Excellent communication and interpersonal skills
Proficiency in MS Office (Word, Excel, Outlook)
Strong organizational skills and attention to detail
Professional appearance and demeanor
Ability to multitask and prioritize in a fast-paced environment
