We’re growing and we’re looking for a reliable, organised and people-oriented Training & Operations Coordinator to become the backbone of our operations. If you enjoy planning, making things run smoothly, and being the go-to person everyone can count on this role is for you!

At IBH, we deliver professional training for experts in the oil & gas industry. We run courses all over the world and we need someone who can help us deliver a great experience every time.

Key Responsibilities:

Managing all course logistics and hotel-related requests, including researching, course venue arrangements, flights, transportation, social events and confirming accommodation for course participants and lecturers.
Preparing and printing all course materials, including course books, name badges, certificates, and QR-coded feedback forms.
Creating and managing brochure links for each course and ensuring they are shared effectively with team members.
Coordinating with the marketing manager – ensure they have accurate course information, brochure links, list of participants, testimonials.
Working with course-related data – manage lists of participants, testimonials, certificate tracking, agreed discounts, and ensure this data is correctly structured and up-to-date in internal systems.
Handling course closing documentation including organising all related files: instructor payments, receipts for venues, flights, expenses, and updating course participants in CRM
Continuously update and maintain the client database, ensuring accuracy and relevance.
Managing virtual training courses on Zoom including scheduling, set up sessions, support instructors and participants during the event, and ensure everything runs smoothly online.
Prepare secure payment links
Search for qualified lecturers/trainers for upcoming courses, conducting online research and supporting the recruitment process.
Post job vacancies and assist in recruitment activities to attract and onboard new team members
Demonstrate strong proficiency in Microsoft Office tools
Be open and flexible to learning and using new digital platforms, software, and tools that enhance team productivity and improve operational efficiency
Be open to occasional travel to support in-person events or training sessions.
What We’re Looking For:

You’re highly organised and have great attention to detail.
You’re comfortable using Excel, Word, and digital tools and open to learning new platforms
You’re fluent in spoken and written English
You can manage multiple tasks, work independently and follow through on deadlines.
Experience in event planning or administration is a strong advantage.
